A lot of business owners think AI is bad at writing.
Usually, that is not true.
What is true is this:
They never trained it properly.
So the output sounds polished, generic, over-friendly, and disconnected from how they actually speak to clients.
You have probably seen it.
An email draft that sounds technically fine, but not like you.
A message that feels too formal, too soft, too vague, or too fake.
Something that makes you rewrite so much that using AI no longer saves time.
That is the real issue.
Not weak technology.
Weak setup.

Why this happens

Most people open a blank chat and type something like:
“Write a professional email to a client.”
The AI does exactly what it was trained to do.
It gives you the safest possible version of “professional.”
That usually means bland, overly polite, and forgettable.
Because without context, AI defaults to average.
It does not know your tone.
It does not know your business.
It does not know how direct you like to be.
It does not know where you naturally over-explain, under-explain, or assume too much.
So it guesses.
And the result feels generic because it is.

The mistake most people make next

They try to fix this with better adjectives.
“Make it confident but warm.”
“Make it professional but casual.”
“Make it sound modern.”
“Make it sound like me.”
This rarely solves the problem.
Because AI still has no real reference point.
You are asking it to guess what those words mean in your context.
That is not training.
That is wishful prompting.

What actually works

If you want AI to sound more like you, you need to train it with real material.
The simplest place to start is with three real writing samples.
For example:
  • one email that is direct and task-oriented
  • one email where you explain options or strategy
  • one email that feels a little warmer or more relational
Then ask AI to analyze your writing patterns.
Not just the words.
The structure.
The rhythm.
The level of warmth.
The way you open emails.
The way you close them.
The kinds of assumptions you make.
The kind of tone you naturally use under pressure.
That is where the quality starts changing.
Because now AI is no longer writing from a generic average.
It is writing from your actual communication patterns.

But there is a deeper layer

Sounding like you is not enough.
Sometimes your natural communication style also has blind spots.
This is especially true for smart, fast-moving business owners.
They know too much.
They think too fast.
They assume the client understands more than they do.
So even when the email sounds like them, it can still miss the mark.
This is where AI becomes truly useful.
Not when it copies your style perfectly.
When it helps improve your communication while staying aligned with your voice.
That means giving it better instructions, such as:
  • help me bridge the assumption gap between me and my clients
  • keep my tone direct, but make sure the message is easy to follow
  • do not add fluff
  • end with a clear next step
  • make it sound like a real person, not a polished template
Now AI is not just imitating you.
It is supporting you.

What becoming an AI Superstar actually means

It does not mean using one tool for everything.
It does not mean knowing every new app.
It means knowing how to use the right AI tool at the right time for the right task.
In this case, the right use of AI is not “write for me.”
It is:
  • analyze my communication
  • identify the pattern
  • help me improve it
  • create a reusable voice profile
  • make future writing easier and stronger
That is strategic AI use.
And that is why some business owners get real leverage from AI while others just get more noise.

The takeaway

If AI still sounds generic, stop blaming the tool.
Look at the training.
The goal is not for AI to replace your voice.
The goal is to train it well enough that it saves you time without costing you trust.
That is a much better standard.
If you want help applying AI more strategically in your business, this is exactly the kind of work I do. I help business owners think clearly about where AI fits, how to train it properly, and how to use it in ways that improve communication, decision-making, and execution.
